Adjusting Rewards Balances

Overview

If you've enabled rewards in Eludo, you're using points to incentivize your learners. From time to time you may want to adjust those balances — for example, running a month of double points.

Balances are managed by exporting your learners' current point totals to a spreadsheet, editing the values, and importing the file back into Eludo. Watch the video for a full walkthrough; the steps below summarize the process.

Before you start: Rewards must be enabled in your Eludo account, and you'll need admin access.

Steps

1. Open the Balances page

Go to Admin → Balances. This page lists every learner and their current points balance.

2. Export the current balances

Click Balances and choose one of two options:

  • Download Template — downloads a file you can edit right away. This is the faster route.
  • Export to Google Sheet — opens the data in Google Sheets. If you use this option, you'll need to download the sheet as a CSV before importing it back.

3. Edit the balances

In the spreadsheet, change each learner's balance to the value you want them to end up with. The number you enter is the final balance, not an adjustment.

  • Enter 100 and that learner will have 100 points.
  • Enter 0 and that learner will have 0 points.
  • To double a learner who has 155 points, enter 310.

4. Use a formula for bulk changes (optional)

For across-the-board adjustments, let the spreadsheet do the math instead of retyping every value:

  1. In an empty column, create a formula referencing the balance column — for example, =2*B2 to double the points.
  2. Copy the formula down the full list.
  3. Select the calculated column and copy it.
  4. Paste it over the balance column using Paste special → Values only. This is important — pasting the formula itself will break the file.
  5. Delete the helper column before saving.

You can still hand-edit individual rows afterward.

5. Save the file as a CSV

Download or export the finished spreadsheet in CSV format.

6. Import the file

Return to Admin → Balances and import the CSV you just saved.

7. Confirm the update

You'll receive an email confirming the import, along with any errors it encountered. Refresh the Balances page to see the updated point totals.

Notes

  • Values in the import file overwrite existing balances — they don't add to them.
  • Check the confirmation email before assuming the import succeeded; errors are reported there rather than on screen.
